What ZRA Smart Invoice Requires

ZRA's Smart Invoice system — also called the VSDC (Virtual Sales Data Controller) — requires VAT-registered businesses to transmit every sale to ZRA electronically at the point of billing. When the sale is accepted, ZRA returns a receipt number, a unique SDC ID and a QR code. These must appear on the invoice or till receipt given to the customer.

The system allows ZRA to match what appears on your VAT return to what was actually billed, in real time — not months later when discrepancies are harder to explain.

The correction is filed with ZRA against the original transaction, so your records and ZRA's records stay consistent.

Stock and Purchases: Synced to ZRA

ZRA Smart Invoice also monitors inventory. Account Desk syncs your stock master, stock movements and purchases to ZRA — in real time, on a weekly schedule, or manually when you choose.

Every item in your stock list carries a ZRA UNSPSC classification code. The full ZRA-published list is built into Account Desk and searchable by name or code, so your team does not need a separate spreadsheet to look up classifications.

For items in VAT Category B — where ZRA requires that VAT is calculated on the recommended retail price rather than the actual selling price — Account Desk applies the minimum taxable value rule automatically. The VAT figure on the invoice is calculated correctly from the start.

Understanding VAT on Your Invoices

Zambia's standard VAT rate is 16%. When you raise a sale in Account Desk, the system applies the correct VAT treatment based on each item's classification and category:

  • Standard-rated items — 16% VAT on the selling price
  • Category B items — 16% VAT on the recommended retail price (the minimum taxable value)
  • Zero-rated and exempt items — no VAT charged, clearly separated on the invoice and in your VAT return

The VAT-exclusive price, the VAT amount and the VAT-inclusive total all print on the invoice. Your VAT return is built from the same transactions sent to ZRA Smart Invoice, so the figures you file match exactly what ZRA holds.
